Are you detail-oriented and passionate about compliance? Join our team as a Records Management Specialist! In this role, you’ll oversee the retention, organization, and secure disposal of village records, ensuring compliance with the Illinois Local Records Act and other legal requirements. Help us maintain order, accuracy, and efficiency in managing essential documents for the community!
Hiring Range: +/- $25.00-$32.00/ hour depending on qualifications
Range of the Position/ Grade: $22.00-$40.00/ hour / Grade 145
FLSA Status: Non-exempt – Part Time (20 hours per week on average)
Location: Village Hall, 1225 Cedar Ln., Northbrook, IL 60062
Key Responsibilities:
- Organize and Manage Records– Oversee the efficient organization and archiving of both electronic and physical records.
- Support Digitization Efforts– Assist with filing, digitizing documents, and creating retention schedules.
- Oversee Record Disposal– Coordinate the secure disposal or destruction of records at the end of their retention period.
- Assist with FOIA Requests– Help respond to Freedom of Information Act (FOIA) requests as needed.
- Maintain Accessible Systems– Keep an organized record storage system that ensures easy access when needed.
- Ensure Compliance– Ensure all records management practices comply with the Illinois Local Records Act and relevant laws.
- Provide Guidance– Advise staff on records management best practices and retention policies.
- Additional Responsibilities– Take on other duties as needed to support the team.
Must haves for the ideal candidate include:
- High school diploma or equivalent.
- Valid Illinois Driver’s License
- Two years of previous experience in records management, data entry or administrative role.
- Familiarity with Illinois FOIA, Open Meetings Act, and Local Records Act is a plus.
